It might be something like <em>info@;<\/em> <em>office@;<\/em> or even a personal address, for example, <em>@gmail.com<\/em> or <em>@outlook.com<\/em>, which possibly has been used for some time. &nbsp;It feels simple. It feels tidy. However, relying on a single email account can create problems that may only show up when it\u2019s too late.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Where one person has responsibility for the only in-box, the business or organisation depends on them being available. If they\u2019re sick, on holiday, or simply busy, important messages can sit unread and unanswered without anyone realising.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Another risk is <strong>losing access entirely<\/strong>. This is more common than people realise. A forgotten password, a locked account, or a staff member leaving can leave a business cut off from its own communication. For groups that rely on volunteers, this can be especially challenging \u2014 years of messages, contacts, and documents potentially can vanish overnight.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Other times <strong>business and personal email are mixed<\/strong>. Many small businesses start this way because it\u2019s convenient. However, as the business grows, business email gets buried under newsletters, family updates, and receipts. It also makes it more difficult when handing over responsibilities.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There is though good news!&nbsp; The safest and simplest solution is to use <strong>role\u2011based email addresses<\/strong> attached to a custom domain, for example, <em>sales@;<\/em> <em>accounts@;<\/em> or <em>bookings@.&nbsp; <\/em>We use <a href=\"mailto:info@securesphere.co.nz\">info@securesphere.co.nz<\/a>. &nbsp;These email addresses aren\u2019t tied to one person. Multiple people can access them, and responsibilities can shift without losing history.
